An Australian-based company wanted to have a Curriculum and Student/Teacher Management Software- LMS solution along with RBAC control and Parent access to track respective student activity. Initially, the client was managing everything manually which was making every activity very time-consuming. So, at the initial level, they were asking for User Account Management, Ability Group Management, Curriculum Management, Content Management, NAPLAN Question bank, Weekly Revision Tasks Management, Diagnostic tasks management, and Reports Management. They wanted us to develop a central LMS software for the whole organization and streamline the whole learning process.

Challenges

There are several key challenges faced by schools and educational institutions:

  • Curriculum Management: Schools needed a centralized platform to create, manage, and update curriculum content efficiently. The existing manual processes were time-consuming and prone to errors.
  • Student and Teacher Management: Managing student and teacher information, including enrollment, attendance, performance tracking, and scheduling, required a robust system that could handle large volumes of data and provide real-time insights.
  • Role-Based Access Control (RBAC): Ensuring secure access to sensitive information was crucial. Different user roles (administrators, teachers, students, and parents) required specific access permissions to maintain data privacy and security.
  • Parental Engagement: Parents needed a way to track their child’s academic progress, attendance, and participation in school activities. Providing parents with real-time access to this information was essential for fostering engagement and support.

With the advancement of technology in today’s digital age, the client wanted to use the latest tools and make the lives of students and teachers easier.

However, the client faced two  main challenges –

  • Customized subscription plan for Institutions.
  • Daily basis class information and activity log for students’ activity
  • Curriculum and task management against each student based on their level of ability.

Solution

In collaboration with Ivan Infotech, the client embarked on developing a comprehensive Learning Management System (LMS) that addressed these challenges and provided an integrated platform for curriculum and student/teacher management, RBAC, and parent access.

Phase 1: Discovery and Planning

Ivan Infotech conducted extensive consultations with EduTech Solutions and key stakeholders from various schools to understand their specific needs and objectives. The following key features were identified:

  • Curriculum Management: Develop a module to create, manage, and update curriculum content, including lesson plans, assignments, and assessments.
  • Student and Teacher Management: Implement a centralized database for managing student and teacher information, including enrollment, attendance, performance tracking, and scheduling.
  • Role-Based Access Control (RBAC): Design a secure RBAC system to ensure different user roles (administrators, teachers, students, and parents) have appropriate access permissions.
  • Parent Access: Create a parent portal to provide real-time access to their child’s academic progress, attendance, and participation in school activities.

Phase 2: Development and Implementation

With the requirements finalized, Ivan Infotech proceeded with the development and implementation of the LMS solution:

  • Curriculum Management Module: Developed a user-friendly interface for creating and managing curriculum content. Teachers could upload lesson plans, assignments, and assessments, and update them as needed. The module included a library of resources and templates to streamline content creation.
  • Student and Teacher Management Module: Implemented a centralized database for managing student and teacher information. Features included enrollment management, attendance tracking, performance analytics, and scheduling tools. The module provided real-time insights and reports to administrators and teachers.
  • RBAC System: Designed a robust RBAC system to ensure secure access to information. Different user roles (administrators, teachers, students, and parents) were assigned specific permissions, ensuring data privacy and security.
  • Parent Portal: Created a parent portal that provided real-time access to their child’s academic progress, attendance, and participation in school activities. Parents could view grades, receive notifications, and communicate with teachers through the portal.
  • User Interface Design: Focused on creating an intuitive and user-friendly interface for all user roles. The design ensured easy navigation and accessibility across different devices (desktops, tablets, and mobiles).

Phase 3: Testing and Deployment

Before deployment, the LMS solution underwent rigorous testing to ensure functionality, performance, and security:

  • Functional Testing: Verified the functionality of curriculum management, student and teacher management, RBAC, and parent access features. Ensured that all modules worked seamlessly together.
  • Performance Testing: Evaluated the system’s performance under varying loads, ensuring that it could handle large volumes of data and concurrent users without performance degradation.
  • Security Testing: Conducted security testing, including penetration testing and vulnerability assessments, to identify and mitigate potential security risks and ensure data privacy.
  • User Acceptance Testing (UAT): Involved administrators, teachers, students, and parents in UAT to validate the system’s effectiveness in meeting their needs and providing a positive user experience.

Once testing was successfully completed and feedback was incorporated, the LMS solution was deployed across schools partnering with EduTech Solutions.
