Currently, they have 2 manufacturing units, 1 corporate office, and 1 business unit and they are going to launch another major manufacturing unit in the Kolkata area. At the initial level, they asked for employee management, attendance system (office and field), payroll, and HR accounting software to reduce their manual HR activity. Currently, they are managing everything using an old fascinating desktop-based HRMS software which is not fulfilling their requirement and they have to run separate accounts for each of their branches. They wanted us to develop a central HRMS software for the whole organisation and streamline all expense approval processes. They also want a Face ID-based attendance system.

In today’s digital age, our client seeks to leverage the latest technologies to design an HRMS solution integrated with payroll services. They aim to develop a new ERP system to efficiently manage internal employees, payroll, and training. However, they have encountered two major challenges. First, there is the need for advanced calculation logic that adheres to both company and government rules, tailored for individual employees.

Second, they require a daily payroll data log that utilizes automated cron calculations based on attendance and government policies, providing a real-time view of each employee’s current salary status.

Solution

Ivan Infotech designed and implemented a custom ERP solution integrating CRM, HRMS (including Payroll), Accounting, and LMS modules. This integrated approach aimed to streamline operations, ensure data consistency, and enhance user experience across the board.

The ERP system implemented for our client comprises four essential modules, each designed to streamline specific aspects of their operations.

The CRM Module is integral for managing customer relationships. It handles lead and inquiry management, ensuring potential clients are tracked effectively from initial contact through to conversion. This module also facilitates enrollment management, simplifying the process of onboarding new clients or employees. Moreover, it acts as a communication hub, promoting organized and efficient communication within the company.

The HRMS Module is a comprehensive solution for managing human resources. It maintains detailed employee records and oversees attendance and leave management, ensuring accurate tracking and reporting of employee time. The module also processes payroll, incorporating advanced calculation logic to comply with both company and government rules.

Additionally, it manages performance reviews, providing a structured approach to employee evaluations and development.
The Accounting Module supports financial management. It includes a general ledger for comprehensive financial record-keeping, along with accounts payable and receivable for managing payments. This module aids in budgeting and forecasting, allowing for effective resource planning. It also generates detailed financial reports, offering insights into the company’s financial health.

Lastly, the LMS Module focuses on learning and development. It includes course management features for creating and organizing training programs, online class management tools, and assessment tools for monitoring learner progress. Resource management within this module ensures efficient use of educational materials, supporting continuous employee development.
